When something about an upcoming tour day changes, BandBrain notices on its own and texts the people who need to know. Nobody has to set this up.
What triggers a text
A real change to:
- Schedule times — load-in, soundcheck, doors, set times, curfew, van / lobby / bus call, or any other scheduled item
- Venue or venue address, and the city
- A day added or cancelled, or a day's type changing (show, travel, off)
- Hotel or hotel address
- Flights / travel
- Hospitality, production, deal/settlement, and merch details
It doesn't matter where the change came from: a Master Tour update, an edited day sheet in Google Drive or Dropbox, a forwarded advance email, or someone correcting a value by texting BandBrain.
What doesn't trigger a text:
- Notes, wording, or formatting changes ("3pm" → "3:00 PM" is the same time)
- The other band's items on a shared bill — the headliner's bus call or hotel when you're opening, the support act's load-in on your own tour
- Connecting Master Tour, picking a tour, or adding a new day sheet for the first time — that's new information, not a change
A text looks like:
Schedule change for Thu 10/15, El Paso: Soundcheck 3:00 → 3:30 PM MDT · Doors 5:30 → 6:00 PM MDT
Added: Sat 10/17, Tucson, AZ — The Rialto
Cancelled: Sat 10/17, Tucson
Every time includes its time zone, in the show city's local time.
The 48-hour rule
Only changes to days (or items) within the next 48 hours are texted. Changes further out are recorded quietly — ask BandBrain about them any time (below).
Who gets it
- Schedule, venue, city, and day added/cancelled go to everyone on the band's roster in the Management & Admins and Artist, Band & Crew sections.
- Hotel changes go to admins plus members with Lodging; flights/travel to members with Travel; likewise Hospitality, Production, Finance, and Merch. Admins (Full Access) get everything.
- External contacts (promoters, venue staff, press) never get these texts.
- If you changed something by texting BandBrain, everyone else is told — you aren't texted your own change.
Texts follow the same rules as broadcasts: a member needs a confirmed phone number, and anyone who replied STOP doesn't get them. See Comms overview and Roles and permissions.
Batching
Changes within about 10 minutes are rolled into one text per person, one line per day. If a value changes and then changes back inside that window, nothing is sent.
If a sync glitch or a tour switch changes lots of details at once, the band isn't flooded — admins get one short heads-up instead, and every change is still on record.
Quiet hours: 2–6 AM
Between 2:00 and 6:00 AM band-local time (where the band is that day), texts are held and sent at 6:00 AM. The exception: a change to something happening within the next 3 hours (say, an early lobby call) is sent right away.
Asking about changes
Text or chat BandBrain:
- "Did anything change for tomorrow?"
- "What changed this week?"
- "Any changes to next week's shows?"
It answers from the same record, including changes that were too far out to text.
