Connect once and BandBrain knows your whole tour — every day, venue, schedule, hotel, and guest list — and keeps it up to date on its own.
Connecting
- In Master Tour, copy your API key and API secret from your account
- In BandBrain, go to /dashboard/connectors — Master Tour is the first card — paste both and hit Connect
- Check this band's tours, mark each one Our tour or We're opening → Save tours
That's it.
BandBrain stores the key and secret encrypted, per band. It can only see what your Master Tour account can see.
Opening on someone else's tour
When your band supports another artist, that tour lives in the headliner's Master Tour — so its hotel, travel, and crew are theirs. Mark it We're opening and BandBrain keeps the shared stuff (venue, doors, curfew, production, facilities) but never treats the headliner's hotel or bus call as yours. Your own hotel comes from your band's day sheets and the confirmations you forward to your band's BandBrain email. Ask "where's Underoath staying?" and it can still tell you theirs.
One account, several bands
A tour manager's Master Tour account often covers more than one artist — bands you manage, tours you're opening on. That's expected: connect the same account in each band's dashboard and check only that band's tours there. Unchecked tours never sync into the band.
What syncs
For each checked tour — today and tomorrow every 5 minutes, the rest of the tour every 30 minutes (and in full once a day):
- Each day's city, timezone, and day type (show, travel, off)
- Venue, address, capacity, age limit, venue contacts, guest list allotment, hall merch %
- Venue details: production specs (stage, power, dock, rigging, FOH), facilities (dressing rooms, showers, laundry, parking, shore power, runners, security, Wi-Fi), equipment and backline, local crew (union, minimums), and logistics (airport, ground transport, nearby food and hotels)
- Schedule items (load-in, doors, set…)
- Hotel and notes
Ask BandBrain the usual way — "what's tomorrow?", "when's load-in?", "hotel tonight?" — and it answers from Master Tour.
When Master Tour and an uploaded day sheet disagree, Master Tour wins. A correction you make by telling BandBrain still beats both.
Merch reports use Master Tour's per-day timezone to match sales to the right show.
When a time, venue, hotel, or day changes in Master Tour within the next 48 hours, the band gets a text — see Tour change alerts. Connecting or picking a tour for the first time never sends alerts.
Guest list
Admins can ask "who's on the guest list tonight?" — BandBrain reads it live from Master Tour: each request, how many tickets, its status, and the venue's allotment. Requests stay new until a Master Tour Pro user approves them, and BandBrain says so.
Admins can also add guests by text or chat:
- "Put Jamie Lee on the list tonight, plus one"
- "Add Sam Ortiz to the House of Blues list, will call, he's with the label"
BandBrain shows you what it will submit — guest, tickets, show, and how much allotment is left — and only sends it after you say yes. The request lands in Master Tour as New until someone with approval rights approves it there. If the list is locked or past its cutoff, BandBrain tells you instead of submitting.
Once a request is submitted, BandBrain can't change or cancel it — Master Tour only lets people with Guest List Manage All permission edit requests. Check the name and ticket count in the preview before you say yes; for changes later, ask the tour's guest list manager.
Changing tours or disconnecting
Check or uncheck tours and Save tours any time — unchecked tours' data is removed from this band. Disconnect removes the key and all Master Tour data from this band. Your Master Tour account itself isn't touched.
