You text the bot "what's tonight's settlement?" and get back something like "I can only share schedule and contact info with you. For anything else, check with the band's tour manager."
The cause
Your roster row doesn't have the relevant knowledge category enabled. Settlement = finance. Hotel = lodging. Production notes = production. Each category gates what the agent will tell you.
How to check
Go to Roster → find your row → click to expand. Look at the "Allowed categories" chip row.
If you see Full Access toggled on, you have everything — no category filter applies. If you see specific chips, only those categories are enabled.
How to fix
Two ways:
1. Toggle Full Access
On your row, click Full Access. This bypasses the category gate — you get everything.
Right for: tour managers, managers, anyone who's effectively an admin.
2. Add specific categories
On your row, click each category chip you want to add. Common defaults:
- Touring musician: schedule, hospitality, lodging, travel
- Production crew: production, schedule, contacts, hospitality, lodging
- Tour manager: full access (everything)
You decide what makes sense given each person's job.
Why this exists
For a band with sensitive financial info (settlement details, promoter offers, deal terms), you might not want every roster member texting the bot for that data. The category system lets you scope per-person.
If you don't care about granular permissions, the simplest setup is to toggle Full Access on every roster member. The agent then treats everyone as full-access and there's no refusal layer.
What's refused
| Category | What it gates |
|---|---|
| schedule | Show times, doors, set times, lobby/van calls |
| hospitality | Catering, buyout, wifi, green room |
| lodging | Hotels, room blocks, addresses |
| travel | Flights, drives, ground transport |
| contacts | Promoters, venue staff, day-of personnel |
| production | Load-in, audio/lighting specs, parking |
| finance | Settlement, deal terms, expenses |
| merch | Splits, vendor info, sales |
| press | PR contacts, interviews, photo passes |
Why the refusal is intentionally vague
"I can only share schedule and contact info with you. For anything else, check with the band's tour manager." — the agent never reveals which specific permission is missing, never says "you don't have finance access". This is deliberate: the refusal copy is the same across all categories so a low-permission user can't probe for which categories exist.
