Are you sending to the right address?
Check the Channels or home page Channels quadrant for your band's exact address — <yourband>@bandbrain.ai.
Each band has a unique alias; sending to the wrong one routes to a different band (or nowhere).
Wait a minute
Inbound email → BandBrain typically takes 10-60 seconds end-to-end. Re-check the conversations Inbox or Knowledge page after that window.
Check the Inbox
Go to /dashboard/inbox. If your forward arrived, there'll be a thread for it. If not arrived:
- Confirm the destination address is exactly right (no typos, no trailing whitespace)
- Check your spam folder — bounces from BandBrain land there sometimes
- Try sending a fresh test email with subject "test123" and check Inbox again
Forwarding subtleties
If you're forwarding email from Gmail / Outlook / etc., some clients alter the From header so it shows YOUR address, not the original sender. BandBrain reads X-Original-To / X-Forwarded-To headers to recover the right routing. But if your forwarder strips those, the sender extraction is off (the bot thinks YOU sent it, not the venue).
Workaround: don't forward, just CC the BandBrain address on the original thread. Cleaner routing, full context.
Attachments missing
If an email arrived but attachments didn't show up as resources:
- Open the resource list at /dashboard/knowledge and look for the attachment names
- Background ingestion runs ~5-10 seconds after the email lands
- For PDFs and images, content extraction is async — the resource shows up first, content comes shortly after
- If unsupported file type (.exe, .zip, etc.), it'll be skipped silently
Day-facts not extracted
If you forwarded a day sheet but find_today doesn't see it:
- Check the resource on Knowledge — it should be "synced"
- Day-facts extraction runs after indexing — usually ~30 seconds
- Some day sheets have non-standard date formats. The extractor handles most; if yours is unusual, email aaron@bandbrain.ai with an example
Postmark webhook fails
If Postmark's inbound webhook to BandBrain fails (BandBrain down briefly), Postmark retries with exponential backoff. So a deploy mid-send doesn't lose mail — it just delays it by a few minutes.
