You connect Drive, you can see your day sheet in the Knowledge list, but when you text "what's tonight's hotel?" the bot says "I don't have that info."
A few common causes.
1. Is the file actually indexed?
On the Knowledge page, each file has a sync state. If it shows "syncing" or "pending", indexing hasn't finished — give it a couple minutes after first ingestion.
If it shows "error", click into the file to see what failed.
2. Is the date in your itinerary normalized?
The day-facts extractor matches dates. If your day sheet uses ambiguous formats ("6/1" without a year, "Fri" without a date), extraction may misattribute or skip. Look at /dashboard/coverage — it shows what BandBrain knows for each upcoming day.
If a day is empty there but you have a sheet for it, the date didn't parse.
3. Are you asking about today's calendar vs tour-day?
Past midnight but before 4 AM, "tonight" means yesterday's show (tour-day rollover). If you text at 2 AM asking "what's the hotel tonight?", you're asking about the show that ended a few hours ago. See The tour-day clock.
4. Permission scope
If you're a non-admin without lodging or production category access, asking "what's the hotel?" might return a polite refusal: "I can only share schedule and contact info with you. For anything else, check with the band's tour manager."
The refusal is intentional. Either your admin needs to grant you the category, or you ask through the admin.
5. The fact is in the file but in an unusual place
The day-facts extractor reads canonical fields (hotel, venue, schedule, etc.). If the info is buried in a paragraph of free-form notes ("by the way, we're staying at the Hilton DTLA"), it might not extract.
Workaround: text the agent the fact directly — "the hotel for tonight is the Hilton DTLA". That writes a user_correction row that beats any extraction lookup going forward. See Editing tour data via SMS.
6. The file isn't in a folder BandBrain watches
If the day sheet lives in a Drive folder you haven't shared with BandBrain (you connected Drive but only added a different folder), BandBrain can't see it. Go to /dashboard/connectors → Google → add the right folder.
