CONNECTING SHOPIFY

Link the band's Shopify store so BandBrain can report online sales, best sellers, unshipped orders, and stock.

If the band sells merch online through Shopify, connecting it lets BandBrain answer questions about the store: how much it made, what sold, what still needs shipping, and what's in stock.

Connecting

There are two ways in. Both end in the same place: Shopify showing as Connected on the band's connectors page, labeled with the store's name.

From Shopify

  1. Install BandBrain from the Shopify App Store, or open it from Apps in your Shopify admin. Sign in to Shopify as someone who can manage the store.
  2. Shopify asks you to approve BandBrain's access. Click Install.
  3. You land on BandBrain. Sign in, or create an account if you're new.
  4. Pick which band the store belongs to and click Connect. If you're in only one band you still confirm; BandBrain never links a store silently.

If the store is already connected to a band, opening BandBrain from Shopify admin just refreshes that connection and takes you to its connectors page. If it's connected to a different band than the one you pick, BandBrain asks before moving it; the other band loses access.

The link from Shopify to the band picker works for 24 hours. If it expires, open BandBrain from Shopify admin again.

From BandBrain

Go to /dashboard/connectors and find Shopify under Money.

  • Once BandBrain is listed in the Shopify App Store, the button reads Install from Shopify and takes you to the listing. Then follow the steps above.
  • Until then, Connect asks for the store's .myshopify.com address, such as your-band.myshopify.com. You can find it in Shopify admin under Settings → Domains; every store has one, even if customers see your own domain. Shopify opens, you click Install, and you land back on BandBrain.

BandBrain asks for read-only access to orders, products, and inventory. It can't change prices, edit products, adjust stock, issue refunds, or see customers' names and emails.

The connection stays alive on its own. You only reconnect if someone uninstalls BandBrain from the store.

What you can ask

Text, or use the dashboard chat:

  • Money: "How much did the store make last week?" Gives order count, gross sales, discounts, shipping and tax collected, refunds, and net.
  • Best sellers: "What were our top sellers this month?" / "Which hoodie sizes sold most?" Units and revenue per product, or per size/color.
  • Orders: "Any orders that haven't shipped yet?" / "Show me today's orders."
  • Inventory: "How many black tees in medium are left?" / "What's running low?"

Dates are read in the store's own timezone (set in Shopify).

Who can ask

Store revenue is finance data, so these questions are admin / Full Access only. Band and crew members get a polite refusal. Grant Full Access from /dashboard/roster.

What it doesn't cover

  • Orders older than 60 days. Shopify currently gives BandBrain only the last 60 days of orders. Questions about earlier months come back with a note saying so.
  • Payment processing fees aren't available. Net figures are before Shopify's fees.
  • Site traffic (visitors, conversion rate).
  • Tour/table merch sold at shows, unless the band rings it up in Shopify. Square covers the merch table.
  • Very busy periods: one question reads up to about 1,500 orders (600 for best sellers and order lists). If a range is bigger, BandBrain says the totals are a lower bound. Ask for a shorter range.

Disconnecting

Click Disconnect next to Shopify on the connectors page. To fully revoke access, also uninstall BandBrain in Shopify admin under Settings → Apps. Uninstalling there disconnects it in BandBrain automatically.
