The External Contacts section at the bottom of the Roster page is BandBrain's CRM. It holds everyone you work with but who isn't on the tour itself: promoters, venue staff, label/PR/agent reps, vendors.
What's stored per contact
- Name
- Organization (e.g. "Live Nation", "The Wiltern")
- Role (e.g. "Production Manager", "Booking Agent")
- Category — venue / promoter / agent / pr / label / manager / vendor / other
- Phone + email
- Free-form notes
Adding contacts
Three ways:
1. Dashboard form
Roster page → External Contacts section → + Add Contact. Fill the form, save.
2. Via SMS to BandBrain
Text the bot: "save Sarah at Live Nation, 555-1234, sarah@livenation.com as a promoter". The agent extracts the fields and adds the contact for you. Admin/full-access only — non-admins get a refusal.
3. Auto-extraction from inbound emails
When someone external emails your BandBrain inbox (<yourband>@bandbrain.ai), BandBrain auto-parses their email signature and adds a contact if it doesn't already exist. Conservative — only auto-adds when the signature has clear name + organization + role signals. Existing curated contacts never get overwritten.
Searching contacts
The agent can search by name, organization, role, or category. Examples:
- "who's the production manager at the Wiltern?"
- "list all my promoter contacts"
- "find Sarah at Live Nation"
Capped at 50 results per search.
Editing or removing
From the dashboard: click the contact row → expand → edit → save. Or "remove contact" to delete.
From SMS: "update Sarah's email to sarah.j@livenation.com" or "remove the contact for Jamie at the Wiltern". Admin-only.
What contacts do NOT do
External Contacts don't receive your comms broadcasts. They don't get tour data routed to them. They're reference-only — for the agent (and you) to look up who's who. If you want someone to interact with BandBrain (receive texts, ask questions), they go in the Band & Crew section instead.
