Adding a band or crew member
- Go to Roster (sidebar → Roster)
- In the Artist, Band & Crew section, click + Add Member
- Fill in:
- Name — display name (e.g. "Matt Smith")
- Phone — their mobile (any common format works)
- Email — optional, but recommended
- Role — pick from the dropdown (production_crew, touring_musician, merch, etc.). This drives their default category permissions.
- Hit Save
What happens next
- A row is created in the roster
- If you added a phone, BandBrain sends an A2P opt-in SMS to that number: "Jordan added you to The Northern Lights' BandBrain assistant. Reply YES to get tour info by text, or just text any question. STOP to opt out. Msg&data rates apply."
- Until they reply YES, the bot won't proactively send them broadcasts (compliance requirement)
- Once they reply YES, they're fully active — they can text the BandBrain number for tour info, and they'll receive admin-initiated broadcasts.
After-the-fact edits
Click any member's row to expand the edit panel. You can:
- Update phone / email
- Change role
- Toggle Full Access (if you want them to have admin-level read of all categories)
- Manually pick which knowledge categories they can read
- Invite them to the dashboard (gives them a Clerk login — see Inviting to dashboard)
- Remove from roster
What if their phone or email is wrong?
Edit the row, clear the field, save. The opt-in invite respects the new number — if you change someone's phone, BandBrain re-sends the opt-in to the new number.
What if they don't reply YES?
The opt-in chip on their row stays "pending". You can text them out-of-band asking them to reply YES, OR they can just start texting the BandBrain number themselves — Twilio's carrier-edge opt-in handles it.
