Every person connects their own account
A band can have several Google accounts connected at once, one per person. You don't need a shared band login: the tour manager connects theirs, the production manager connects theirs, and each person's files stay tied to their own account.
- Go to /dashboard/connectors
- Find the Google row. It lists every connected account as "email, connected by name".
- Click Connect my Google account (it only shows if you haven't connected one for this band yet)
- Pick your Google account on Google's consent screen and grant the requested access (Drive files you pick, Sheets read+write, Docs)
- You land back on the Connectors page and your account shows in the list
Connecting your account never replaces anyone else's. Reconnecting your own just refreshes it.
Picking the folder
After connecting:
- Open /dashboard/knowledge and add a file or folder from Google Drive
- Google's Drive Picker opens on your own Google account (the one you connected, not a teammate's)
- Select the file or folder you want BandBrain to watch and confirm
Files you add are tied to your account: that's the account BandBrain uses to read them, keep them in sync, and write changes back to your sheets.
You can pick multiple folders. Each becomes a watched resource. Files inside any picked folder get auto-ingested.
What gets ingested
BandBrain ingests every supported file type in the picked folder(s):
- Google Sheets — read structurally (tabs, columns, rows)
- Google Docs — full text
- Google Slides — slide-by-slide
- PDFs — text + OCR
- Images — OCR
- Other (CSV, XLSX, etc.) — extracted as best-effort
It also subscribes to Drive Watch events so any file you add, edit, or remove in those folders triggers an auto re-sync. Edits typically reflect in BandBrain within ~1 minute.
Read AND write
For Google Sheets, BandBrain can write back to the source. When you text the agent "update van call to 9am tomorrow", the agent:
- Writes the change to BandBrain's
day_factstable - Resolves the right tab + row + column in your source sheet
- Calls Google's per-cell update API to write the change back
Your team members open the sheet later, and the new value is there. The reverse of "the agent saw the change first" — BandBrain is a first-class editor of your sheets.
Disconnecting
Each account in the Google row has its own Disconnect button. You can disconnect the account you connected; a band admin (org admin or Full Access) can disconnect anyone's.
When an account is disconnected:
- BandBrain stops syncing that account's files: Drive watches are stopped, the files stop refreshing, and BandBrain can no longer write to its sheets. If someone asks BandBrain to update one of those sheets it will say that sheet's Google account was disconnected.
- Access is revoked at Google (unless the same Google account is still connected to another band).
- Nothing is deleted. Everything BandBrain already learned from those files stays searchable and keeps answering questions, but it no longer updates from the source. On the Knowledge page those files show NOT SYNCING.
- Other people's accounts and files are not affected.
To resume, the same person clicks Connect my Google account again with the same Google account. Their paused files pick back up automatically within about an hour, with no manual re-sync step. To cover a paused file with a different account, add the file again with the Drive Picker from that account.
Bands that connected Google before per-person accounts existed may see an entry marked "connected by the band (earlier connection)". It keeps working; an admin can disconnect it the same way.
