CREATING YOUR FIRST AUTOMATION

Step-by-step for setting up a daily daysheet broadcast.

From the dashboard

  1. Go to /dashboard/comms/automations
  2. Scroll down to the Create form
  3. Name: short label. "Daily daysheet 6am" works.
  4. Timezone: leave as Tour-day local (default) — see why below
  5. Schedule: Daily, time picker to 06:00
  6. Channels: SMS (or check Email if you want)
  7. Audience: Everyone (or scope it down)
  8. What to send (composed by BandBrain each run): write the body prompt. Example:

"Send today's daysheet: venue, address, hotel, schedule (load-in, soundcheck, doors, set), parking, hospitality (catering/buyout, wifi, green room), and a quick line about tomorrow."

  9. Click Create Automation

You'll see the new row appear in the list above, with the next run time shown.

From SMS

You can also create an automation by texting BandBrain:

"Schedule the daysheet to text everyone every morning at 6am wherever we are"

The agent maps:

  • "6am every morning" → cron 0 6 * * *
  • "wherever we are" → timezone tour_day
  • "the daysheet" → body prompt
  • "everyone" → audience all
  • "text" → channels sms

It confirms back in plain English ("Got it — I'll text the band the daysheet every morning at 6am in whatever city you're in. Sound good?") and waits for your yes before creating.

What happens on each fire

At 6am local time (in whatever city you're in that day), the scheduler kicks the run:

  1. Agent gets the body_prompt
  2. Agent calls find_today for today's data (and find_today for tomorrow if your prompt mentions next-day info)
  3. Agent composes the message body using the strict SMS daysheet format (sections: VENUE, PARKING, HOTEL, TODAY, HOSPITALITY, NEXT DAY)
  4. sendComm broadcasts the body to everyone via SMS

The whole flow takes a few seconds. Your phone vibrates at 6:00:0X with that day's daysheet.

Managing existing automations

  • Pause: click "pause" on the row. Next run is cleared.
  • Resume: click "resume". Next run is recomputed from cron + now.
  • Delete: click "delete". Permanent — past run history stays in audit_log but the schedule is gone.

You can also manage from SMS:

  • "what comms automations do I have?"
  • "pause the morning daysheet"
  • "delete the test one"
