TALKING TO BANDBRAIN

How the agent works, what it can do, and the natural-language patterns it understands.

The BandBrain agent is the brain behind every channel — SMS, email (ingestion only), and web chat. Same model, same tool kit, same memory across all three.

What you can ask

Anything that's in your tour's knowledge base:

  • Time-bound questions: "What's tonight's hotel?", "Lobby time tomorrow?", "When's the next van call?"
  • Schedule: "What's the load-in?", "What time is doors?", "What's set time tonight?"
  • Contacts: "Who's the buyer at Brooklyn Steel?", "What's Sarah at Live Nation's number?"
  • Production: "Where do we park the bus tonight?", "Is there shore power?"
  • Hospitality: "What's catering tonight?", "Wifi password?"
  • Financials (with permission): "What was Friday's merch take?", "When does Stripe pay out next?"
  • History: "What did the Wiltern's PM say about parking last time?", "Find the email from Atlantic with the artwork brief"

Natural language — no commands

You don't need to know "commands" or syntax. The agent reads what you wrote and figures out what to do. Just be a normal human:

  • "What's the hotel tonight?" (instead of /hotel today)
  • "Add John Smith plus one to the guest list tonight" (instead of structured forms)
  • "Text everyone the hotel info for tomorrow" (instead of dashboard clicks)

What the agent does behind the scenes

For any question, the agent might:

  1. Call find_today to look up structured per-date facts
  2. Call search_knowledge to retrieve relevant document passages
  3. Call search_messages to look at past emails / texts
  4. Call read_resource_tab to read specific cells of a sheet
  5. Compose a reply

For an SMS reply, the agent formats output in tight LABEL: value lines with line breaks — never markdown. For web chat, replies can be longer and use markdown.

What it WON'T do without permission

  • Comms broadcasts — only admins / Full Access can trigger. Non-admins asking "text everyone X" get a refusal.
  • Cross-tenant data — strictly RLS-isolated. The agent only sees your band's data.
  • Writes to data the user can't read — if you don't have finance permission, you can't read OR write financial facts.

The tour-day clock

The agent uses a 4 AM rollover for relative terms. "Tonight" at 1 AM still means yesterday's show (you haven't slept yet). "Tomorrow" at 1 AM means today's calendar date. See The tour-day clock.

Memory

The agent remembers things you tell it: preferences, notes about you, recurring patterns. Memory is scoped per-person — your memory follows you across SMS / email / web. See Agent memory.
